Our participants come to us with a wide range of personal characteristics. We believe that participant eligibility shall be determined without regard to race, faith, national origin, color, gender and sexual identities, ages, marital statuses, and [dis]abilities. We welcome, serve, and encourage positive involvement by youth, parents/guardians, volunteers, Board Directors, agency staff, and other participants from all demographics and identities, especially those who are underrepresented in the community.

Our Policy on Firearms and/or Weapons Ownership by the Big

1. Ownership must be disclosed to Agency staff at enrollment and throughout the life of the match.


2. Ownership must be disclosed to the child's Parent/Guardian by Agency staff.


3. Big must attest to the fact that any weapons, firearms, or ammunition ownership is licensed, permitted, registered, and handled in accordance with all applicable state and federal laws.


4. The following guideline will be reviews and agreed to by the Big and documented in the match file: Weapons, firearms, and ammunition will at all times be made inaccessible to a child while in the Big's care, unless participating in specific, approved activity(ies) which the Parent/Guardian, Big and Agency staff have approved in advance and such approval is documented in the participants' case files (e.g. hunter safety courses).

Release of Information Authorization for Background Check

As part of my application, I will be asked to submit a National background check application through Sterling Volunteers, have my fingerprints taken and processed through Live Scan, and submit authorization for SLO County Sheriff to release to Big Brothers Big Sisters of San Luis Obispo County any criminal history records that pertain to me . 

Some of these background checks have costs associated with them that I will be responsible for. If the costs of required background checks create a financial hardship for me, I will ask a representative of Big Brothers Big Sisters of San Luis Obispo County about possible reimbursement support for these costs.

I understand that the purpose of releasing such information in to ensure the safety of those children with whom I may come in contact as an active Big, and can be used more than once as deemed necessary.  


Confidentiality and Digital Platform Policies

Confidentiality Policy

In order for BIG BROTHERS BIG SISTERS OF SAN LUIS OBISPO COUNTY to provide a responsible and professional service to clients, it is necessary for volunteers, clients, and parents (or guardians) of clients to be asked to divulge extensive personal information about themselves and their families.  This agency respects the confidentiality of client and volunteer records, and with the exception of situations listed below, shares information about clients and volunteers only among the agency professional staff.  The right to confidentiality applies to written records, video, film, social media (including, but not limited to the internet, networking sites, blogs and personal websites),  photos, and/or any other depiction of the name, likeness, or other description of a client or volunteer in any publication or promotional material.  

           

All records are considered the property of the agency and not the agency workers, clients, or volunteers themselves.  In order to provide a service which is in the best interest of the children served by the program, information from outside sources, including confidential references, must be assessed along with information gained from the clients or volunteers themselves.  Records are not available for review by the clients or volunteers.  

           

When a Client/Volunteer is considered for a match, information is shared between the prospective parties.  Each party has the right to refuse the proposed match based on the information provided.  Prior to a match being made, information shared may include but is not limited to: first name, age, sex, race, religion, education, interests, hobbies, marriage and family status, sexual orientation, reasons for applying to the program, and a summary of the reasons an individual was chosen for the match.  The individuals to whom the information is provided shall agree not to share the information with any other person.  For the duration of the match and after formal closure, confidentiality is to be maintained by all program participants.

 

Limits of Confidentiality

Information will be released to other individuals or organizations only upon presentation of an authorized "consent to release information" form appropriately signed by the client, client's representative, or volunteer, except in the instance of suspected child abuse.

 

Identifying information regarding clients and volunteers may be used in agency publications or promotional materials only if the client or volunteer has given permission.

 

For purposes of program evaluation, audit, or accreditation, and with the prior approval of the Board of Directors, certain outside bodies, such as Big Brothers Big Sisters of America, may have access to client and volunteer records.  These outside organizations shall be required to respect the agency policy on confidentiality.  Outside parties shall be required to use information only for the purpose(s) stated in the approval action of the Board of Directors.  Known violations of agency confidentiality policy will be reported to the supervisor of the individual involved, and appropriate disciplinary action shall be requested.

 

Directors of the Board shall be required to comply with the agency policies on confidentiality and may use the information divulged to them only for purposes stated by the approved action of the Board of Directors. 

 

Violations shall be reported to the Board President. A violation of the agency's confidentiality policy by a Director shall constitute adequate cause for removal from office.

 

Any subpoena requesting confidential information received by or served upon the agency shall be immediately delivered to the agency's legal counsel for review and appropriate action.  Only the agency's legal counsel shall have authority to determine whether or not any subpoena served on the agency is valid and/or unenforceable. 

 

Information shall be provided to an agency's legal counsel in the event of litigation or potential litigation involving the agency.  Such information is considered privileged material, and communications between the agency and its counsel are protected by confidentiality law. 

 

State law mandates that suspected child abuse and neglect be reported to the appropriate authorities. All workers are responsible for staying abreast of California reporting requirements and shall always comply with mandated procedures.

 

If an agency worker receives information indicating that a client or volunteer may be dangerous to himself or herself or to others, necessary steps may be taken to protect the appropriate party or parties. This may include a medical referral or a report to the local law enforcement authorities.

 

A known violation of BBBS’s Confidentiality Policy shall result in disciplinary action.  Depending on the seriousness of the violation, the action may be a written warning, suspension or termination of the match and/or employment.


Social Media Use by Volunteers

It is very important to respect and maintain child safety, confidentiality, and privacy for all parties in the match.


If Bigs post about being a volunteer with BBBS, that post may not contain any information about their Little, including but not limited to their Little’s name, description, or parent/guardian information. Bigs must never post any pictures of Littles online without express permission.


To participate in digital media and/or social media with a Little by posting pictures or information about Littles online, a signed Parent/Guardian consent form must be on file at the BBBS office. The Parent/Guardian of the Little has the right to not sign this release form. IF a consent form is signed, the following rules must also be adhered to:

  • Volunteers must not provide identifying information about the Little (last name, age, school, etc.).
  • Never share the location of the Little.
  • We strongly urge profiles to be set to private.
  • Big Brothers Big Sisters has the right to monitor the social media activities of our Bigs and other volunteers. If volunteers are discovered to be using social media inappropriately, the relationship between the Big and our organization could be terminated.

Media Release

Media Consent and Release

I irrevocably consent to any and all uses and displays of my name, image, likeness, appearance, basic biographical information, audio/video recordings, writings, artwork, and the like, in original form or in modified form, in whole or in part, in, on, or in connection with merchandise, advertising, publicity, marketing, fundraising, and the like, in printed or electronic media, of any type, throughout the world at any time by Big Brothers Big Sisters of America and [BBBSA affiliate] in their sole discretion, and by any of their affiliates, successors, partners, sponsors, donors, any entities or persons with whom they conduct any public relations, marketing, or fund raising of any type, and any other authorized third parties, without further consent from me, without any royalty, payment, or other compensation to me, and with the release and waiver of any claims, actions, damages, losses, costs, expenses and liability of any kind arising from any such use (the “Released Material”).
In consideration of the mutual promises made herein, and for other good and valuable consideration, the receipt and sufficiency of which I hereby acknowledge, I hereby grant to BBBSA and its affiliates the right to use the Released Material as BBBSA and/or its affiliates may desire, in all media now existing or hereafter created and in all variations and forms including, but not limited to, internal or external publications or productions, informational or recruitment materials, marketing materials, fundraising materials, televised photography and/or recordings, advertisements, Public Service Announcements, and/or online and social media sites. The use of this information shall be at the sole discretion of BBBSA and/or its affiliates.

I further grant to BBBSA and its affiliates the absolute right to use the Released Material in whole or in part, alone or in conjunction with any other image, name, writings or reproduction, in color or otherwise, for art, advertising, business, trade, or any other lawful purpose whatsoever, in perpetuity throughout the world.

I understand and agree that all materials created by BBBSA and/or its affiliates that use the Released Materials are the property of and are owned by BBBSA, and that I cannot authorize their use by any other party.  I further understand that BBBSA may authorize their use by a third party. I hereby irrevocably transfer and assign to BBBSA my entire right, title and interest, if any, in and to the Released Materials and all copyrights in the Released Materials arising in any jurisdiction throughout the world, including the right to register and sue to enforce such copyrights against infringers.

I acknowledge and agree that I have no right to review or approve the Released Materials before they are used by BBBSA and/or its affiliates, and that BBBSA has no liability to me for any editing or alteration of the Released Materials or for any distortion or other effects resulting from BBBSA’s and/or its affiliates’ editing, alteration or use of the Released Materials.  BBBSA has no obligation to use the Released Materials or to exercise any rights given by this Consent and Release Form.

I hereby release BBBSA and its affiliates, employees, and agents, as well as any partner companies, from all claims, demands or liabilities and related financial costs that I may now or hereafter have arising in connection with BBBSA’s exercise of the rights hereby granted, and/or with the appearance or the Released Materials in any publication or production. These include, without limitation, claims for compensation, defamation, or invasion of privacy, or other infringements or violations of personal or property rights of any sort whatsoever.

GUIDELINES AND GROUND RULES
These rules are based in in-depth studies of mentoring successes and challenges during the last 100+ years since Big Brothers Big Sisters of America began. They are important for ensuring youth safety, adult liability protections, and healthy, happy outcomes for all parties.

GUIDELINES AND GROUND RULES FOR BIGS
As a Big, I will:

1. Be consistent and dependable in the commitment to my Little for the duration o f my 
match.

2. See my Little at least 2 times per month for at least 5 Hours per month.

3. Respond to and maintain monthly contact with my Match Support Specialist and 
understand that if I do not, my match may be closed. I will participate in all aspects of 
this match support process: initiating and returning calls, completing surveys/evaluations, attending trainings, and attending meetings related to my match.

4. Not take my Little to my home within the first 3 months. Thereafter, I must receive
approval from my Match Support Specialist and the parent/guardian before having a 
home visit. Visits occurring prior to Match Support Specialist and Parent/Guardian’s approval will result in closure.

5. Be responsible for the cost of match outings, focusing on free and low-cost activities. I 
will check with my Match Support Specialist before buying any expensive gifts or 
coordinating higher-cost activities.

6. Keep any personal information that I learn about my Little and their family members
confidential, aside from sharing it with my Match Support Specialist. I will not keep 
secrets from my Match Support Specialist.

7. Agree to follow all guidelines listed in BBBS’s social media policy.

8. I will support BBBS SLO fundraising events so that more children can benefit from having 
a Big. 

9. Be involved and participate in agency activities, allowing me to connect with matches
within the program.

10. Understand that when I’m with my Little, my attention should be focused on our
Relationship. 

11. Initiate calls/texts on a regular basis to schedule outings with my Little. I understand 
that I am responsible for contacting and scheduling outings, and if I have difficulty with 
this, I will contact my Match Support Specialist for assistance.

12. Arrange match activities in advance with the parent/guardians, not just the Little. I will 
secure approval before any match activity, and I will not involve my Little in any 
activities with which the parent/guardian or Little is not comfortable.

14. Pick up and drop off my Little at their front door. I will check-in with the parent/guardian 
and discuss how the outing went, as well as when I plan to be in contact again.

15. Be understanding when an issue arises between myself and my Little, or parent/guardian. 
I will contact my Match Support Specialist immediately and be willing to work together 
in order to reach a solution. If at any time I feel I cannot continue in my match, I will 
contact my Match Support Specialist to discuss the closure procedures.

16. Give parent/guardian and Match Support Specialist up-to-date emergency contact 
phone numbers and names, as well as updates in my phone number, address and 
place of employment.

17. Not leave my Little unsupervised or with any other adult or child if I am not present. 

18. Be the only approved person to transport my Little. I will follow all traffic laws and safety 
suggestions to ensure my Little’s safety, such as not speeding, using seat belts, and 
having children under 13 rides in the back seat. I will not text while driving. I will not
talk on my phone while driving unless it is an emergency.

19. Not physically discipline my Little. If I am having difficulties with my Little, I will 
communicate my concerns to their parent/guardian and my Match Support Specialist.

20. Not use alcohol or drugs while I am with my Little or be under the influence of drugs or 
alcohol while I am with my Little. This includes prescribed medications that may impair 
my ability to be alert, safe, and use clear judgment.

21. Ensure that any weapons/firearms are inaccessible, at all times, when my Little is with 
me.

22. Consult my Match Support Specialist and receive approval from my Little’s 
parent/guardian before engaging in high-risk activities (i.e. zip-lining, boating, ATV-ing,
canoeing, rock- climbing, paintball, etc.).

23. Report any safety issues surrounding my Little to my Match Support Specialist.

24. Not allow any overnights between my Little and myself. Unapproved overnights 
will result in closure.

It is essential that all participants understand these Guidelines and Ground Rules, so please reach out to your Enrollment or Match Support Specialists at any time if you have any questions.

Application Acknowledgement

I understand that this is an application for a volunteer opportunity and is not a promise or commitment by Big Brothers Big Sisters.

I certify that all information I have provided or will provide to Big Brothers Big Sisters, including this application, is true, accurate, and complete to the best of my knowledge. I certify that I have and will answer all questions to the best of my ability and that I have not and will not withhold any information that would affect my application for a volunteer position. I understand that information contained in my application will be verified by Big Brothers Big Sisters. I understand that misrepresentations or omissions may be cause for my immediate rejection as an applicant or my termination as a volunteer.

At any time while involved with the Big Brothers Big Sisters program, I agree to immediately inform my Big Brothers Big Sisters contact person of any and all infractions, violations, charges, and convictions related to any civil, domestic, or criminal matters.  I understand that BBBS staff needs to be fully informed to provide the best guidance or support possible.
